We are looking for a Spare Parts Supply Specialist (Europe and Rest Of the World) to join our Asset Management Team. In the role, you will manage the return flows of spare parts across European and Rest of World markets, ensuring efficient processing, accurate credit note issuance, and timely reintegration of usable parts back into inventory. Your role is essential to optimizing our reverse supply chain and maximizing asset recovery across our international network. You work closely with service partners, field service organizations, quality teams, and warehouse operations to ensure returned parts are processed quickly and accurately. Your ability to manage cross-border return processes, maintain high data accuracy, and proactively resolve issues will be key to your success in this position. Your responsibilities

Credit Note Processing for Returned Parts (EU+ROW)

- Issue credit notes for unused spare parts returned from European countries and ROW markets
- Verify return documentation completeness and accuracy before processing credits
- Ensure proper financial reconciliation and alignment with return policies
- Coordinate with local country teams and finance to resolve discrepancies or issues
- Maintain accurate records of all credit notes and follow up on pending cases
- Quality Check Coordination & Fast-Track Returns

- Trigger and expedite quality inspections for returned parts to determine usability
- Ensure fast-track processing of parts confirmed as good for immediate return to available stock and manage the system transfer of quality-approved parts back into standard warehouse locations
- Track quality check turnaround times and identify bottlenecks for improvement
- Field Returns Monitoring & Expediting
- Monitor and expedite the return of replaced/defective parts from field service operations
- Track open return orders and follow up with service partners and field technicians to ensure timely returns
- Identify and escalate delayed or missing returns to appropriate stakeholders
- Maintain visibility on return shipment status and resolve logistics issues
- Support root cause analysis for recurring return delays or non-compliance
- SAP Transaction Processing & Data Accuracy
- Execute SAP transactions related to returns, credit notes, and stock movements
- Ensure data accuracy and completeness in all system entries
- Perform stock adjustments and corrections as needed for returned items
- Generate reports on return flows, credit notes issued, and parts reintegrated into stock
- Stakeholder Coordination & Support

- Collaborate with country organizations, service partners, and logistics teams across EU and ROW
- Provide guidance and support on return processes and policies
- Communicate proactively on return status, delays, and resolution timelines
- Participate in process improvement initiatives to enhance return efficiency
Your Background
- Degree in Economics, Engineering OR minimum 2 years of experience in logistics, order management or similar roles
- Understanding of warehouse management systems and logistics processes
- Experience in reverse logistics or credit note processing is a strong plus
- Proficiency in SAP for processing returns, credit notes, and stock movements
- Excellent organizational skills and attention to detail
- Fluency in English and Italian
- Effective communication skills for coordinating with international stakeholders
- Proficiency in Windows-based systems and Microsoft Office suite (especially Excel)
- Proactivity, problem-solving attitude
- Adaptability and willingness to learn new processes and systems
